Tame This Time Sucker To Step Up Your Productivity Game

It’s no secret that improved productivity naturally leads to accomplishing more each day and enhances your ability to achieve your recruiting goals.  However, you may be surprised to learn that email management offers a critical opportunity to step up your productivity game.

Email may seem innocuous when it comes to productivity. It’s quick and easy, right?  We’re not so sure. We think that continually interrupting your day to instantly send or reply to emails seriously impacts your ability get your most important work finished. 

Think of it this way, a typical membership professional sends and responds to dozens of emails every day. How can anyone effectively accomplish what needs to get done with dozens of interruptions every day? In reality, any urgency around sending and replying to emails is self-imposed. Yes, sending an email can be quick, but that doesn’t mean the email must be sent immediately.

The truth is that once a prospect sends you an email, or hangs up the phone, they are not counting the seconds until they receive your email. They swiftly move on to something else. So, stopping everything to send an email only serves to hamper your momentum.

Set Aside Time Proactively Make The Most Of Your Email Correspondence

Time blocking is the practice of setting aside a specific amount of time to complete similar activities. We think time blocking is a fantastic way to organize your workflow. It’s very effective because you concentrate intensely on one type of action and you are far more productive as a result.

Instead of reacting to email, set aside time proactively make the most of your email correspondence. The idea is to determine a set number of times you will check and work on email each day. We typically recommend twice a day to our chamber clients. We suggest a 30 – 60-minute time block prior to lunch, and another 30 – 60-minutes before the end of the day.

We find that these times work well because you can devote the meat of your morning and afternoon to prospecting, follow-up and other critical activities.

Of course, everyone’s day is different, so you should adjust how often and how much time you devote to email accordingly. The key is to establish your email time boundaries and stick to them. You’ll be astonished at how much more productive you become.
